You might have heard me talk about my friend Andrea before. She’s a genius at what I call “getting things done despite…”
- despite having had a baby last year, two other kids under five AND moving house
- despite her hubby being away in the military a lot and no family close by
- despite having virtually no time to herself and being tired
She grabs pockets of time here and there. She works on her phone. She snatches rare moments when all three kids are occupied or asleep.
It’s incredible what she’s achieved with ten minutes here and ten minutes there.
She says that she never has enough time, just like we all do but she just gets on with it anyway.
This week she came out with a brilliant tip that she gave me permission to share. She said:
“This past year I’ve made it a point to track my income and expenses monthly, but usually that consisted of me sitting down in a grumpy mood going through my emails, PayPal notifications, and credit card purchases each month, cursing myself for having absolutely zero organization.”
To make the whole thing less stressful, she’s started using Trello to keep track of business expenditure.
The trick is an awesome free feature called “email to board” where you can forward emails straight to your Trello board.
So here’s what she does:
1. She created a new board and called it “Expense Tracking”
2. She created two lists on the board – one for the current month “January” and one “To Be Filed” – she’ll create February when that arrives.
3. She copied her email-to-board address from Trello and added it as a contact in her email client. (She uses Gmail) You can choose which Trello list emails will go to. You can send it to “To Be Filed” or directly to the “January” list. (Using the current month, you would need to switch it over each month.)
4. Now anytime she gets an invoice or a payment confirmation email, she forwards the email to the board. It then show up as a card on her Trello board! If it’s not obvious whether it’s income or expenditure she’ll add the transaction amount to the message with (+) or (-).
And with that everything is in one place when she does her monthly accounts.
The email-to-board settings are under “more” on the Trello Board Menu (top right of the screen), in case you’re wondering. 😊
